Use of the space and meeting room

The office is a shared, open space. You are welcome to take calls, have zoom meetings etc. in the office, and there are meeting rooms that you can book out for longer meetings. It’s best to book a room for when you need a little privacy or simply want to move around more while chatting through your screen.

available space

Each working space is a large desk (150x75cm) and desk swivel chair, we don’t provide monitors or storage for hot-desk users, though for longer bookings (1month +) we can look into storage options such as shelving or lockers.

Hot-Desking

A ‘hot-desk’ is a workspace that is available for hire on a day by day basis. Members who hot-desk are asked to take their things home with them at the end of each working day. The office operates on a first come first served basis; we don’t reserve desks - even if you’ve told us that you have a favourite spot.

Dedicated Desk

A dedicated desk is a workspace that is signed over to a member for the minimum period of one month. Members are welcome to ‘move in’ for the month, meaning they can bring and leave their necessary office equipment such as monitors, books, files, favourite houseplant etc.

Any desk marked as dedicated may not be used by anyone other than the person who has hired it, even if it looks unused. If you hire a dedicated desk and wish for someone else to use it please email your permission as well as the details of who will be using the desk in your stead to hello@projectco.work

Please only use one space; you’re welcome to change desk between days, but on any given day we ask that you pick a desk and stay there for the duration so that the other desks remain clean and ready for members who might be joining later in the day.

Checking-in

Please make yourself knows to members of staff when you arrive and let us know when you leave. We will assume that you are in the building until you tell us you’re not!

Your Belongings and Valuables

Members may leave their belongings on / under their desk if they leave during the day; this is done entirely at their own risk. Our insurance does not cover anyone’s valuables or belongings and we do not take responsibility for any such items or losses.

Food

We politely ask that no hot food is eaten in the office or meeting rooms; this is because of the smell that hot food causes - you might think your KFC smells wonderful, but as it’s a shared space there may be others who don’t agree.

Printing aND Fair Use Policy

A printer is provided which prints from PCs, Macs and Chromebooks. Members will be assisted with set up for a single device. Fair use is determined as less that 5 B&W and 2 colour prints per day, per user.

Internet

We provide a fast internet through wifi connection for all members. Performance may vary according to where the member is sitting, the number of other people using the space at the same time and the member’s machine. Project Co-Working is a workspace first and foremost, as such the network is not designed for streaming media/TV. Please report any internet speed issues if they ever do occur and we will try our best to remedy the situation as fast as possible.

Cleaning

We ask our co-workers to help us keep Project Co-Working clean and tidy. This includes clearing used crockery from desks, keeping the tea station clean and mopping up any spillages. If you have a major spillage please let a member of staff know. It is your responsibility to clean up any spillages.

Security

The main door to The Project Climbing Centre is locked outside of their opening hours (see section on The Project Climbing Centre) and members of Project Co-Working are given a code so that they can access the building. We ask that everyone double check that the door has locked behind them for the security of the Project’s shop and facilities.

The office door has a coded lock and a key. During opening hours the door will only be locked with the code, ensuring the safety of any equipment inside the office.

At the end of the day, we ask everyone to make sure that windows and doors are closed and locked. Please also turn off any heaters before you leave.

Guests and Visitors

If you are expecting a guest or would like to bring a someone into Project Co-Working please notify staff beforehand and sign them in on arrival. It is your responsibility to meet them in the reception of The Project Climbing Centre and escort them throughout their stay. Visitors are subject to the same code of conduct and usage policies as everyone else.

Dogs

There is a large dog called Alfie who lives in The Project Climbing Centre and sometime he sits in the office. There are several other dogs who’s owners work in the building that come to the building regularly.

By pre-arrangement only, we will consider other dogs in the office. They must be very well socialised and calm so that they are not worried in the office, and so that they do not cause disruption to other users of the space.

We usually recommend a trial period to see how you, the dog and the other users all get on.

Shared facilities

The office is a shared environment, please respect other people privacy; some users might be too polite to say that ‘now isn’t a good time’ when they really don’t want you standing at their desk talking at them.

Fridge space is provided for members, please keep your things together (ideally in a shopping bag) and write your name on the container clearly. We do not have enough space for bulk purchases, weekly shops or large items so please use it fairly and responsibly. The fridge will be cleared out weekly on a Monday morning at 8am; anything out of date or without a name on it will be discarded.

Out of hours access

Project Co-Working is open from 9am-9pm Monday-Friday. No access will be granted outside of these times. If you are the last to leave please ensure all windows are closed and the main door is shut behind you.


THE BOARDROOM & RETRO MEETING ROOM

Bookings are confirmed upon receipt of payment. We withhold the right to cancel and refund any bookings.

Full-time, paying members of Project Co-Working are welcome to use either the meeting room or boardroom on an ‘ad hoc’ basis, free of charge, unless there are prior bookings. ‘‘Ad Hoc’ includes popping in to take a phone call, having an impromptu meeting, needing a quiet space etc. It does not include unlimited or exclusive access and does not extend to non-paying guests and visitors. We withhold the right to charge users, should their use be deemed to be taking advantage of these facilities, making them inaccessible to other paying members.

50% DISCOUNT on room bookings FOR MEMBERS

‘Members’ are those who pay for a monthly membership or who buy a block of days. The 50% discount does not apply to those bookings individual days.


Booking Conditions

The meeting room and board room must be booked with a minimum of 24hours notice, either through the website or via email. 

Bookings are confirmed upon receipt of payment. No bookings are confirmed until payment have been received.

Late Fees

Unauthorised late payments will incur a fee of £15 after 7 days of being overdue. A further £15 late fee will be added after 30 days. Please note that use of Project Co.Working is not permitted without payment in advance.

Cancelations and Refunds

Any cancellation requests must be made a minimum of 24 hours in advance of booking start time. We do not offer any refunds for no-shows or retrospective cancellations. We withhold the right to cancel and refund any bookings up to 24 hours in advance of the booking start time.


Staff

 

There are a couple of part-time members of staff who manage Project Co-Working alongside their own businesses. We are here to help with general enquiries and are not employed as a member PA or as a cleaner. staff members are in charge of answering the phone, sorting the post and monitoring bookings. Staff reserve final veto on who may use Project Co-Working.


Use of the other businesses on-site

Project Co-Working is not part of The Project Climbing Centre, nor of any other business on-site.

The Project Climbing Centre

Entry to The Project Climbing Centre hall is not permitted unless all three of these provisions are met: 

  • you are a registered member of The Project Climbing Centre

  • you have paid entry for that day

  • The Project Climbing Centre is open. 

Please note that Project Co-Working is a separate business and hiring desk space does not grant you access to the bouldering facility or any other business onsite.

cancellations & REFUNDS

Insurance

Project Co-Working has its own insurance related to public liability and assets which are owned by the company, Cowork Collective. Members are responsible for their own insurance requirements and should check their coverage, particularly for items lost or damaged.


The Midwinter Gift Company

The Midwinter Gift Company rents the space that is Project Co-Working; ‘Project Co-Working’ is a trading name of Cowork Collective. Cowork Collective is a private limited company registered in England, no. 14649080. Registered address is The Project Climbing Centre, Poole, BH15 1UD.
